We’re in Week 4 — you’ve been using AI tools, learning prompting patterns, and figuring out where AI fits in your work. Now let’s lock in your personal setup. Not 15 tools you’ll forget about. The 3-5 that actually earn a permanent place in your workflow.

Step 1: Audit what you’ve tried. Over the past few weeks, which tools did you actually use more than once? Which ones saved you real time? Which ones felt like more trouble than they were worth? Be honest — the goal is a tight, effective toolkit, not a long list.

Step 2: Pick one per category. You need at most one tool per job:

  • Thinking partner (writing, analysis, brainstorming): Claude, ChatGPT, or Gemini. Pick whichever you’ve gotten the best results from. Depth beats breadth.
  • Meeting assistant (if you’re in meetings regularly): Fireflies, Otter, or Granola. The one that integrates with your meeting platform.
  • Coding assistant (if you write code): Copilot, Cursor, or Claude Code. The one that fits your IDE preference.
  • One specialist (optional): Whatever niche tool has proven useful for your specific role. An image generator for design. A data analysis tool for finance. A writing polish tool for comms.

Step 3: Go deep, not wide. For each tool in your kit, learn the advanced features. Most people use 20% of what these tools can do. The difference between a basic user and a power user is usually 2-3 features:

  • Custom instructions / system prompts (so the AI knows your context every time)
  • Keyboard shortcuts and quick-access patterns (reduce friction to zero)
  • Integration points (connect AI to your existing tools — email, calendar, docs)

Step 4: Set your defaults. Make AI the starting point for tasks where it’s proven useful. Don’t think “should I use AI for this?” — just start there and fall back to manual when needed. Flip the default.
